How a grant writer plans a deadline calendar
A calendar is only as honest as the dates in it. Three of the four deadline states we publish cannot be scheduled the same way, and one of them cannot be scheduled at all.
What goes wrong
Fixed deadlines are dates. Rolling programmes accept applications continuously. Forecasted ones have announced nothing yet. Putting all three in one calendar as dates invents two of them.
Where a source published no closing date we show “Not stated”. Treating that as rolling is the error that loses a cycle, because a fixed date may exist on a page we have not parsed.
Registered portals fail, queue and rate-limit on closing day. The buffer is not padding for the writing; it is insurance against the upload.
What to do instead
Schedule from deadline type first and treat every unstated date as an open question with a named owner. We can make the calendar’s assumptions visible — which dates are the funder’s and which are yours — rather than promise the calendar is complete.

Split the list by deadline type before anything is dated
Fixed goes in the calendar. Rolling goes in a queue ordered by effort. Forecasted goes on a watch list with no date attached to it.
Work backwards, and put the buffer before the deadline
The deadline planner takes a closing date and an effort level and produces the date each step has to be done by. Its lead times are editable starting points, not agency guidance.
Record which dates are assumptions
For a forecasted programme, any date you plan against is yours. Mark it as such in whatever you hand a client, because a client cannot tell your assumption from a funder’s announcement.
Re-check the source link before each milestone
Our verification date says when we last confirmed the record. Between checks, the funder’s page is the only authority, and it is one click from every record.

Can I export a calendar?
The deadline planner produces a schedule you can copy or download as an .ics file. It runs in your browser and nothing is sent to us.
How far ahead are forecasted programmes announced?
We do not publish a lead-time figure, because nothing in our schema records when a record changed status. Reporting an average we did not measure would be the kind of number this database exists not to print.
Do you alert me when a deadline is near?
Deadline reminders and a weekly digest are part of the paid tiers. The dates themselves, and the planner, stay free and need no account.
