Closeout
The final phase of an award: last reports filed, final costs reconciled, unspent funds returned, property disposed of. It happens after the period of performance ends, and no field on an opportunity record describes it.
Part of the GrantTrove grant funding glossary — one entry for every field the catalogue stores.

In detail
Closeout is where costs that were incurred loosely become costs that are disallowed. A match documented informally, an in-kind contribution valued by the recipient rather than by the method the programme named, an expense dated a week outside the period — each of those survives the whole project and fails here.
It also has the longest tail of any phase. Final reports carry their own deadlines after the money has stopped moving, and an organisation that treats the last drawdown as the end of the work finds out otherwise.
Against the deadline
The deadline on a record is the application deadline: the day the window shuts for applying. Closeout sits at the other end of the award entirely, months or years later. They are never the same date, and `deadline_at` is never a closeout date — which is worth saying plainly, because a single mislabelled date on a record would be read as a plan.
How GrantTrove stores it
- Nothing on an opportunity record is a closeout date, and none is invented to fill the gap. The only funded-period dates in the schema sit on recorded awards rather than opportunities — `funder_award.funded_start_date` and `funded_end_date` — and those describe money already given, not a programme still open.
- A programme’s reporting and closeout obligations stay in the notice the record links. We do not summarise an obligation into a field, because a summary is the thing a reader would then rely on.
Common questions
When does closeout happen?
After the period of performance ends, on the schedule the award sets. We hold no figure for it and do not estimate one.
Can costs be disallowed at closeout?
Yes, and that is the usual reason it matters. Costs outside the period, undocumented match, and unallowable categories are the common three.
Do you track awards through closeout?
No. We hold opportunities and recorded awards; administering a live award happens between the recipient and the funder, and none of it is published.
